Terms and Conditions – GWI Tour Indonesia
These Terms and Conditions apply to all tours and travel services booked with GWI Tour Indonesia. Please read this document carefully. By booking a tour with us, you confirm that you have fully understood, accepted, and agreed to be bound by these Terms and Conditions.
💳 Deposits & Final Payment
To confirm your booking with GWI Tour, a 30% deposit is required to secure your reservation and begin tour arrangements. Once your booking is made, we’ll send you an invoice along with detailed payment instructions.
The remaining balance must be paid no later than 5 days before the tour start date. For bookings made within 2–5 days before departure, full payment is required upon confirmation.
All payments to GWI Tour must be made free from any bank or transfer fees. Please note that GWI Tour is not responsible for charges made by third-party payment providers (e.g., credit card surcharges or PayPal fees).
🧾 Booking Agreement
Your booking becomes official when GWI Tour receives your deposit and sends written confirmation. Once confirmed, these Terms and Conditions apply to your travel contract.
❌ Cancellation Policy
If you need to cancel your booking, you must notify GWI Tour in writing. Cancellation fees are calculated based on the time we receive your notice and are expressed as a percentage of your total tour price:
- 35 days or more before tour: No cancellation fee
- 11–34 days before tour: 30% cancellation fee
- 3–10 days before tour: 50% cancellation fee
- Within 48 hours of departure: 100% cancellation fee
Custom or tailor-made tours may have different cancellation policies, which will be clearly stated during booking.
🛡️ Travel Insurance
GWI Tour does not provide travel insurance. Travelers are strongly advised to obtain comprehensive insurance from their home country covering:
- Medical expenses and evacuation
- Trip cancellation or delays
- Personal injury or loss of belongings
Your insurance should match the nature of the tour, especially for hiking or adventure activities. GWI Tour will not be held responsible for costs arising from travel disruptions or medical emergencies.
🩺 Medical Conditions
Before booking, clients must inform GWI Tour of any relevant medical conditions. You are responsible for determining your physical fitness for the tour.
We recommend consulting your physician regarding vaccinations, health precautions, and general fitness for adventure travel in Indonesia.
Please note that some of our tours visit remote regions (such as Sumba, Flores, or rural areas of Java), where medical facilities are limited. GWI Tour makes no guarantees regarding the quality or availability of local medical care in these regions.
🍽️ Special Requirements
We always do our best to accommodate special requests, including dietary preferences or accommodation needs. However, these requests are not guaranteed and do not form part of our travel contract. GWI Tour will not be liable if specific requests cannot be fulfilled.
💬 Complaints
If you encounter any issues during your trip, please inform your tour guide or GWI Tour representative immediately. This gives us the chance to resolve the matter promptly.
Complaints made after the tour must be submitted in writing within 20 days of tour completion. Complaints received after this period may not be considered.
⚖️ Liability
GWI Tour is not responsible for:
- Losses, damages, or expenses caused by your own actions
- Delays or issues caused by third parties or force majeure events
- Loss or theft of baggage or personal belongings during the tour
Please keep your valuables secure at all times. GWI Tour is not liable for lost or damaged items left in hotels, vehicles, or other facilities used during the tour.
🌪️ Force Majeure
GWI Tour will not be held liable for any injury, delay, loss, or failure to perform caused by circumstances beyond our control, including but not limited to:
- Acts of God (earthquakes, floods, extreme weather)
- War, civil unrest, or political instability
- Government restrictions or health regulations
- Mechanical breakdowns or labor strikes
In such cases, GWI Tour will do its best to reschedule or modify arrangements without incurring liability for delays or additional costs.
📸 Images and Marketing
By joining a GWI Tour, you consent to being photographed or filmed by our team or other travelers. These images may be used for marketing, promotional materials, or social media. If you prefer not to be photographed, please notify your guide before the tour begins.
✏️ Amendments
GWI Tour Indonesia reserves the right to update or modify these Terms and Conditions at any time. Any updates will be posted on our official website and become effective 5 days after publication. We recommend checking the latest version before your trip.
By continuing to use our services after updates are published, you agree to the revised Terms and Conditions.
